Property Management Assistant

Brewery Square – New Haven, CT

Brewery Square Apartments has an opening for a full time Property Management Assistant. We are looking to hire a new employee with a strong work ethic, an energetic personality and experience with marketing. The successful candidate must be a self- starter and work well in a faced past office environment. This individual must be highly organized, be able to multi-task and work well independently as well as with the management team. The Property Management Assistant will work in the on-site management office directly with the Property Manager and Maintenance team.

Brewery Square is located in New Haven, CT on the Quinnipiac River. The property was originally constructed in 1896 and the rehabilitation of Yale Brewery transformed this landmark building into 104 apartments. The building features a mix of one, two and three bedroom apartments each unit with its own unique floor plan. There is a mix of Market rate and Project Based Section 8 units. Brewery Square is managed by a Cambridge, MA property management firm called The Shoreline Corporation. Assist the Property Manager with his / her duties in all aspects of the property's operation.
Maintain courteous, professional communication with residents, applicants, staff, and others.
Desire to learn and be trained in all aspects of property management and leasing.
Assist residents with miscellaneous requests and questions.
Market vacant apartments to prospective tenants through various methods of online advertising, social media outlets, off-campus housing fairs etc.
Post ads on Craigslist, Zillow,,, etc.
Take photos of apartments for marketing purposes.
Perform building tours and apartment showings.
Process rental applications & leasing paperwork.
Follow up with prospects via phone and email.
Collect rents, prepare receipts, and send balance due notices.
Process weekly Accounts Payable.
Prepare and maintain complete and accurate tenant files.
Prepare memos and letters.
Maintain work order system and communicate with the Maintenance team.
Schedule vacant unit turnover and occupancy.
Schedule and conduct apartment inspections.
Maintain required inventories for supplies and building assets.
Assist with maintaining the Section 8 Wait List.
Conduct move-in, annual and/or interim recertifications.
Ability to answer and interpret compliance questions once properly trained by the Property Manager.
Attend property management training and HUD trainings as required.
Develop a complete familiarity with the Property Management web-based software system (One-Site).

Education and Qualifications:
Candidates must hold a BA/BS Degree. Previous Property Management and/or Leasing experience is a plus. Experience and/or education in Marketing, Social Media & Email Marketing, and Photoshop is preferred. Must be computer savvy and have a strong proficiency in Microsoft Office & Microsoft Outlook. Candidates must enjoy working within a diverse community, have superior customer service skills, be professional and honest.
